Vestry Meeting Minutes for August
St. James’ Episcopal Church
(To be approved at September meeting)

Tuesday, August 18, 2009, 5:00 pm

Present: Senior Warden, David Vanselow; Vestry members Al Lacock, Larry Shoffner, Mary Springer, Suzanne Tourtelot, and Kay Wayman; Treasurer Jerry Wayman, Clerk Susan Walter, Ben Helmer, and Betsy Porter.

Ben opened the meeting with special prayers for the poor and those out of work.

David Vanselow called the meeting to order at 5:00 p.m.

Minutes: After reviewing the July minutes, Larry Shoffner moved they be accepted as written. Suzanne seconded and all voted aye.
 
Treasurer’s Reports: Jerry Wayman presented the July treasurer’s reports.  After noting that the month of “July” instead of “June” should be the title on the summary report, Larry Shoffner moved the reports be accepted as corrected.  All voted aye.

Susan Walter mentioned the frustration she has with incomplete counter forms and showed a form that was not dated nor signed nor added correctly.   Ways mentioned to help the counters were: to keep the room quiet and free of interruptions, have better access to a calculator, and to offer training.

Junior Warden’s Report: 
Although Larry Johnson was not present, he e-mailed that he doesn’t have a report because “everything is at a manageable level, thanks to Kevin and Helen, my assistant Jr. Wardens.”

Old Business:
1.    Organ Repair Update – Ben reported that Keith and two assistants from Mid-States Pipe Organ Co are working on cleaning and repairing the organ. They have found considerable damage and will give a report of what they found, what they did, and how they fixed it. We will ask for an estimate of what the instrument is worth, once the repairs are finished.

2.     Ben introduced a Vestry Resolution for the Funding of Organ Repairs which is attached to these minutes. Mary moved we pass the resolution, it was seconded and all voted aye.

3.    St. James’ Medal packets
- All of the 250 medals purchased for the St. James’ 125th celebration have been given out.  Al moved and Kay seconded that we purchase more as visitors as well as members very much appreciate these remembrances.  Susan will let the vestry know by email how much we paid for them and place an order.  We’ll need to have bags, cord, and cards to complete the package, and volunteers to put the packets together.
New Business:
1.    Columbarium Project – A parishioner made a generous offer to pay for a columbarium or portion thereof, depending on cost,  at St. James’.  Ben will appoint a committee to look into this project.  Al Lacock will serve on the committee and Vestry members are asked to e-mail Ben suggested names of others who might serve in this capacity.

2.    Visit by the Gideons – A member of the Gideons contacted Ben to see if he might have some time to explain their mission.  The visit is scheduled to last 10 minutes during breakfast time in the undercroft on Sunday, September 13.

3.    Additional funding for Garden Project – Gardener Nigel Hartey has requested $200 in additional funds to purchase bulbs to plant in the fall.  Suzanne moved we provide this funding and Mary seconded.  All voted aye.

4.    Resolution to transfer funds – Ben noticed we did not have a resolution on file to authorize the treasurer to transfer funds from our savings account to the operating account.  Treasurer Jerry Wayman will write the resolution and bring it to the next meeting.
Additional items:
1.    Vestry terms for Dave Vanselow, Suzanne Tourtelot, and Kay Wayman expire in January 2010.  Each will talk to a possible nominee to replace them.  Names mentioned were Carol Belt, Heather Quinney, and Kevin Wuestenhoefer.

2.    Ben updated us on the Inquirer’s classes being held on Wednesday evenings.  Class members Nancy Mehan, Hendrik Pot, Karen Ralph, Rick Slusher, and Keith Todd are using the “Confirmed, not Conformed” class materials in preparation for the Bishop’s visit on October 4th.

3.    A Work Day has been scheduled for Saturday, November 7th.  We’ll ask Larry Johnson, Kevin Wuestenhoefer, and Nigel Hartey for projects.

4.    Al Lacock read a letter from former St. James’ member, Jackie Grimmett, describing her work with children in India.  Cheri Lacock will ask Jackie for specific needs that Vestry could help with.

5.    Parking Lot Fundraiser on Saturday, October 3 – Dave Vanselow will recruit volunteers to fill 2 hour time slots.

The next Vestry meeting will be Tuesday, September 15 at 5:00 pm.  Please let Dave Vanselow or Susan Walter know if you cannot attend.

Betsy ended with prayer and the meeting adjourned at approximately 6:30 p.m.
