Vestry Meeting Minutes for April
St. James’ Episcopal Church

Wednesday, April 9, 2008, 4:30 pm

(Preliminary -- to be approved at May meeting)

Present: Sr. Warden David Vanselow, Jr. Warden Bill Pugh, Treasurer Kevin Crosson, Bob Rennels, Mary Springer, Suzanne Tourtelot, Kay Wayman, the Rev. Edie Bird, the Rev. John Burton, and Clerk Susan Walter

David Vanselow called the meeting to order at 4:30 pm.  Edie opened with prayer.

Minutes
: After review of the February minutes, Suzanne moved to accept the minutes as written. The motion was seconded and all voted aye. The March minutes were reviewed, Bob moved to approve, the motion was seconded and all voted aye.

Treasurer's Reports:
As there was no quorum in March, the February treasurer's reports were approved by e-mail vote to meet the diocesan requirement of receiving the reports by the 20th of the month.

The March treasurer's reports were reviewed and approved. Kevin noted that our 9-month CD of $75,847 matures on May 10th and asked Vestry what they would like to do. Suzanne moved to give authority to Kevin and Susan to roll the CD into a new term at the best rate available. The motion was seconded and all voted aye.

 
Old Business:

1. Organ Update – Edie reported that our organ builder met the deadline of March 21 for a playable organ. However, there are still lots of pipes to hook up and bugs to work out by the project completion date of April 21. At this time, the casework is also to be finished. Josh is reportedly working on the console at his workshop.

2. Outreach Funds approval: For the record, the request for outreach funds of $1000 for the Dick Johnston Summer Camp was approved by email vote.

3. 125th Birthday Celebration Plans & Ideas: A short discussion was held. The committee will reconsider mugs and an alternative idea of selling St. James’ medals; part of the proceeds would go to a bench or statue in the garden. Other ideas mentioned were a possible event on St. James’ Day, July 25, perhaps an organ concert; and the June 8 concert already scheduled.
New Business:
1. Registry of our web site stjameseurekasprings.org, which expires March 2009.  Web sexton John Burton presented terms and costs to consider for long-term renewal.  Kay moved we renew for 10 years.  The motion was seconded and all voted aye.  Since the web site is hosted by Australians, John will keep an eye on the rate of exchange for the next few months and pay when the rate of exchange seems best.

2.  Consider posting use and service policies on the web site – The Vestry was in favor of posting the policies on the web site.   A written policy from about 1995 is already in place for use of the Undercroft and Vestry members will review the document.
The next Vestry meeting will be Monday, May 12, at 5.00 pm.

The meeting was adjourned at 5:30 pm.
